Policy Statement

This policy outlines the guidelines and procedures for solicitation activities conducted by La Familia Movements (LFM). The purpose of this policy is to ensure that all solicitation efforts align with the mission, values, and legal requirements of the Organization while maintaining ethical standards and respecting the rights and privacy of individuals.

Scope

This policy applies to all group members, volunteers, board members, employees, partners, and authorized representatives of La Familia Movements who engage in solicitation activities on behalf of the Organization.

Definitions

  1. Solicitation: The act of seeking donations, funds, sponsorships, partnerships, in-kind contributions, or other forms of support for the Organization's programs, initiatives, events, or operations.
  2. Donor: Individuals, corporations, foundations, organizations, businesses, or other entities that provide financial or in-kind contributions to the Organization.
  3. Soliciting Party: Any brand, business, organization, individual, vendor, sponsor, community group, or other outside party seeking to solicit donations, promote fundraising activities, obtain sponsorships, or conduct fundraising-related activities in connection with La Familia Movements.

Guidelines and Procedures

1. Compliance With Applicable Laws and Regulations

a. All solicitation activities conducted by or on behalf of La Familia Movements must comply with applicable federal, state, and local laws, regulations, and requirements governing charitable organizations and fundraising.

b. The Organization shall obtain and maintain any necessary permits, licenses, registrations, or approvals required for fundraising and solicitation activities.

c. Outside parties seeking to conduct solicitation activities in connection with La Familia Movements must comply with all applicable legal and regulatory requirements.

2. Mission, Vision, and Values Alignment

a. All solicitation, fundraising, sponsorship, promotional, and partnership activities must align with the mission, vision, values, and objectives of La Familia Movements.

b. La Familia Movements reserves the right to decline or discontinue any solicitation, partnership, sponsorship, or fundraising activity that does not align with the Organization's mission, values, reputation, or community standards.

c. Acceptance of a donation, sponsorship, or partnership does not constitute endorsement of the donor, brand, organization, product, service, political position, or individual by La Familia Movements unless expressly authorized in writing.

3. Outside Solicitation and Partnership Requests

a. No individual, business, brand, organization, or other outside party may solicit La Familia Movements' members, volunteers, donors, supporters, partners, or community contacts without prior written authorization from La Familia Movements.

b. All requests to solicit, fundraise, promote products or services, seek sponsorships, distribute promotional materials, or otherwise engage La Familia Movements' community must be submitted for review and approval before any activity begins.

c. Approval of a solicitation or partnership request is at the sole discretion of La Familia Movements and may be subject to additional terms, conditions, agreements, or restrictions.

d. Permission to conduct one solicitation or promotional activity does not create an ongoing right or authorization to conduct future activities.

e. La Familia Movements may revoke or modify authorization at any time when an activity is inconsistent with this policy, the Organization's values, applicable law, or the interests of the Organization and its community.

4. Donor and Community Privacy and Confidentiality

a. Donor, volunteer, member, supporter, and partner information, including contact information, financial contributions, personal information, and other private data, must be treated with confidentiality and respect.

b. La Familia Movements' contact lists, databases, mailing lists, donor lists, volunteer lists, and other confidential information may not be sold, rented, shared, distributed, or used for outside solicitation without express written authorization.

c. Outside organizations or individuals may not contact La Familia Movements' donors, members, volunteers, or supporters using information obtained through their relationship with the Organization unless specifically authorized in writing.

d. The Organization shall comply with applicable privacy and data-protection laws when collecting, storing, using, and sharing personal information.

5. Truthful and Accurate Representation

a. All solicitation materials, communications, advertisements, sponsorship requests, fundraising campaigns, and representations associated with La Familia Movements must be truthful, accurate, transparent, and not misleading.

b. No person or organization may represent themselves as an authorized representative, partner, sponsor, fundraiser, employee, board member, or agent of La Familia Movements without appropriate authorization.

c. Soliciting parties must clearly identify who is conducting the solicitation and the purpose for which funds or support are being requested.

d. The use of La Familia Movements' name, logo, trademarks, photographs, intellectual property, or other organizational materials requires prior authorization.

6. Ethical Fundraising and Solicitation Practices

a. All fundraising and solicitation activities shall be conducted with honesty, integrity, transparency, and respect.

b. Solicitation activities must not involve deceptive, coercive, discriminatory, abusive, harassing, or misleading practices.

c. Any actual or potential conflict of interest must be disclosed and appropriately addressed.

d. Funds, sponsorships, donations, or in-kind contributions must be used for the purposes represented to donors or supporters.

e. La Familia Movements reserves the right to reject donations, sponsorships, partnerships, or other forms of support that may create a conflict of interest, compromise the Organization's independence, damage its reputation, or conflict with its mission or values.

7. Sponsorships, Partnerships, and Brand Relationships

a. All brands, businesses, organizations, individuals, and other entities seeking to work with La Familia Movements through sponsorships, partnerships, promotions, fundraising, events, or other collaborative activities are subject to review and approval.

b. A partnership or sponsorship may require a written agreement establishing the scope of the relationship, responsibilities of each party, permitted use of names and logos, financial obligations, promotional requirements, and termination provisions.

c. La Familia Movements does not guarantee exclusivity, endorsement, advertising, public recognition, or continued partnership unless expressly stated in a written agreement signed by an authorized representative of the Organization.

d. La Familia Movements may decline relationships that could reasonably create reputational, legal, financial, ethical, or operational concerns.

8. Donor Acknowledgment and Recognition

a. La Familia Movements shall promptly acknowledge and express appreciation for contributions when appropriate.

b. Donor recognition and public acknowledgment shall be conducted according to the donor's preferences, any applicable written agreement, and applicable legal requirements.

c. Donors may request anonymity, and the Organization will make reasonable efforts to honor such requests.

9. Solicitation Training and Documentation

a. La Familia Movements shall provide appropriate guidance or training to group members, volunteers, board members, employees, and authorized representatives engaged in solicitation activities.

b. Records of solicitation activities, donor communications, contributions, sponsorships, partnerships, and acknowledgments should be accurately maintained and securely stored.

c. Outside parties authorized to conduct solicitation or fundraising activities in connection with La Familia Movements may be required to provide documentation, reporting, financial information, or other records as determined by the Organization.

10. Review, Approval, and Compliance

a. This policy shall be periodically reviewed to ensure its effectiveness, relevance, and compliance with applicable laws and organizational practices.

b. La Familia Movements reserves the right to review, approve, deny, modify, suspend, or terminate any solicitation, fundraising, sponsorship, partnership, or promotional activity associated with the Organization.

c. Non-compliance with this policy may result in the immediate termination of authorization or relationship with La Familia Movements and may include removal of promotional materials, cancellation of events or activities, termination of partnerships, or other appropriate action.

d. Where appropriate, violations may also be referred to the appropriate authorities or result in legal action.

Working With La Familia Movements

Any brand, business, nonprofit, organization, individual, sponsor, vendor, community group, or other entity seeking to work with La Familia Movements must obtain approval before conducting solicitation, fundraising, promotional, sponsorship, or partnership activities involving the Organization or its community.

Submitting a request does not guarantee approval. La Familia Movements evaluates requests based on mission alignment, community impact, legal and ethical considerations, organizational capacity, reputation, and other factors deemed relevant by the Organization.

Approval and Amendments

This Solicitation Policy was approved by the La Familia Movements Board of Directors on June 1, 2026.

Any amendments to this policy require approval by the La Familia Movements Board of Directors or another authorized governing body of the Organization.

By adhering to this policy, La Familia Movements seeks to maintain the highest standards of integrity, transparency, accountability, privacy, and respect in all solicitation, fundraising, sponsorship, partnership, and community engagement activities.
